Welcome to the sixth edition of this newsletter and also a big welcome to all our new subscribers.

In this issue we have another great interview with two business owners who have created a great business that is not just a job for themself, but a  successful business.  This month we have an interview with Aghi Di Maio and Mila Maisano of A.M. Meetings Plus in Moonee Ponds, Victoria.  Aghi and Mila are sisters and A.M Meetings Plus offer Events Management and has now been in operation for seven years.  Over that time they have continually improved their operations and profitability.

Isn't it great that your business is growing!

Starting a business is an exciting time and when your sales are increasing it is an excellent feeling.  All of a sudden you are feeling very busy as you are performing the many tasks that have to be done in your business.  You need to perform the operations that makes your business successful, but also there is the administration, the accounts, the marketing, the purchasing, etc.  When do you do all this - outside normal business hours?

It may be time to start thinking about hiring someone to help you.   There are alternatives to a full time employee that you can think about.  You could employ a casual or part-time staff member, sub-contract to another business or outsource the work.  You may even think about hiring a trainee from a Job Network.  It is an excellent feeling when other people can help you earn your income and learn your way of doing business.

The best time to think about employing someone is before you really need it - because when things get really busy you may not have the time to find someone.  It is the system (or the process) that will make you successful.  Take the time now to think about the work that you do for your business.  What don't you like doing or what don't you have the skills to do?   Write it down on a piece of paper.  Maybe it is some of the following:

- answering the phone
- giving quotes
- responding to emails
- preparing newsletters
- administration
- bookkeeping
- your contact management system
- word processing

As you list these tasks they will form the basis of a Job Description for either someone your employ, sub-contract or outsource to.

Interview with Aghi Di Maio and Mila Maisano

A.M. Meetings Plus is located in Moonee Ponds but operates Australia wide.  The company is known for professional Conference Management services which focus on delivering personalised and quality services.  Aghi and Mila are co-directors of the company and both have over seven years experience in this business with an additional 3 years prior with another firm organising events.  Having enjoyed working together previously they decided they enjoyed the conference management aspect the most. Hence A.M. Meetings Plus Pty Ltd was born.  Over the past 7 years Aghi and Mila have continued to evaluate their business performance and implement continuous improvement strategies.  They both have excellent time management skills and really thrive in the busy times when they go into auto-pilot, remaining unfrazzled at all times.

Congratulations Aghi and Mila on the business developments that you have made so far.

Tell me a bit about how you decided to start a business in events management?
We both worked together for a professional teacher association and a major part of our job description was organising professional development, conferences and other events.  We loved it and were very good at it, so we started our own business - A.M. Meetings Plus, offering professional conference management services.

What is your vision for A.M. Meetings Plus?
Our vision for the future is to expand, but still remain hands on.  We would like to hire some extra permanent full time staff members to work in administration and marketing. We’re also working towards building a more solid ongoing client base. We are definitely on the road to this at the moment but we still do a lot of one-off jobs.  We are looking for clients who run regular conferences so that we can build strong relationships with them. We don't want to become a huge company - we want to remain small and boutique with clients appreciating the level and quality service we offer. We aim to be in a position where our services are highly sought after.

How did you go about creating a successful business?
Sheer determination to succeed and make it work.  We offer services which always go the extra mile. It’s not about money, but successful conferences and meetings. Our clients appreciate this. We also take pride in being in touch with the needs of our clients, and respectively their clients (delegates, speakers etc). Hence we go to  great lengths to cater for individual and very differing needs.  This year has been a breakthrough for A.M. Meetings Plus, and the future is becoming a lot more stable with bookings for the next 2 years.  In the conference industry clients often plan and book 2 years in advance. 

When we started our business we looked at what we wanted to achieve and prepared a business plan and a budget.  In the first 4 years clients came to us because they knew about us from our previous experience in education.  There was not enough money in it to employ anyone and we were very busy with no time to market our services.  At this point in time we decided to re-evaluate our financial situation and our strategies for the future.  We phased out non-profitable jobs and looked at gaining value clients that added to our bottom line.  We basically had to start again.  We began cold-canvassing and networking and it was difficult at first because we were now an established business with fixed expenses and no income. We found that networking and word of mouth is very strong and we gained some major clients.  This was the start of a profitable new era for A.M. Meetings Plus.

As the business started to grow, we developed systems and strategies to ensure that the work was handled efficiently and professionally. We have a system for documenting and following up with clients and potential clients.  Everything is documented and organized. This assures our clients that everything is under control. 

Tell me about your team building and staff empowerment initiatives
Aghi is an Accredited Meetings Manager with the Meetings Industry Association of Australia. As well as industry training, we provide training to all our staff so that they understand our goals as well as our business procedures.  We have meetings and regularly discuss ways in which we can improve. We encourage all our staff to participate, contribute and provide feedback.  We want our clients to know that they can talk to anyone in our business and get efficient service. 

Tell me about your relationship with your clients
We have a very healthy relationship with our clients.  There is mutual trust and clients give us their brief and other relevant information to enable us to get on with the job.  This is a great feeling.  Our clients are assured of our commitment to their conference and event. In short our client’s success is our success.

Can the business run without you being there now?
Yes - The business can run with only one director being there.  It has done this many times. This is why we offer the unique service of 2 conference managers instead of the traditional one. We believe this adds further assurance to our clients that if one of us becomes unavailable there is no interruption to the work.
